As the start of a new academic term approaches, many community colleges begin a critical process of preparing their systems, faculty, and course structures to ensure a smooth launch. IntelliBoard plays a central role in helping institutions manage this transition with confidence and efficiency. Clients use IntelliBoard at the start of the new term to ensure that courses are complete and prepared to launch and that instructors and other stakeholders have the appropriate data access and dashboards for a successful start of the term.

While many colleges and universities use automated tools to create course shells within the LMS (Learning Management System) and assign instructors based on SIS (Student Information System) data, there is much more to starting a new term successfully than simply creating courses. Once course creation is complete, the LMS administrator runs a synchronization tool (Sync Users) to ensure all instructors are registered in IntelliBoard and linked to their courses. A key step before term launch is checking for new instructors who have not been previously active in the LMS. By syncing users at the right time, administrators avoid manual corrections and ensure clean data for reporting. Instructors are able to see the correct courses prior to the start of the term using a secure IntelliBoard display within the LMS and can confirm course readiness and learner enrollments using dashboards automatically assigned to all users with an instructor role in the new term.

Course readiness is a key factor in preparing for the new term. Many institutions use standard templates for courses, ensuring consistency across sections. However, these templates may be incomplete or contents may be outdated. Instructors may copy contents from previous courses manually or customize templates to meet departmental and course specific needs, updating syllabi and other course elements. Supervisors then review these courses using IntelliBoard dashboards to ensure required elements like syllabi and policies are in place and not removed inadvertently. Dashboards automatically assigned to academic leadership make this process efficient and straightforward.

This persona-based approach allows institutions to provide role-specific dashboards with minimal effort. Guides for each of the default reports and dashboards are readily available in the IntelliBoard knowledge base and can be shared widely each semester or accessed by users from within the IntelliBoard view.
